Organiser Guide

For Organisation Leaders — the person who registers a church or organisation, sets its opening hours, and invites and oversees the Group Leaders reading under its banner. Follow these steps to get your organisation ready for Biblathon 2026 (14–18 October 2026).

Before you start

  • Your organisation's details (name, type, city and country, denomination).
  • If you have a venue: its address and time zone.
  • The names and email addresses of your Event Coordinators and Group Leaders.

Pre-Event

Register as an Organiser

Go to Register and choose the Organiser path (or open your invitation link). Create your account, verify your email with the 6-digit code, and accept the terms. You'll land on your Organisation Dashboard.

Confirm your organisation and your team

Check your organisation's details — name, type, city and country, denomination. Then, under Your Team, invite up to five Event Coordinators to help you manage your organisation's participation.

  • Event Coordinators can be invited from your dashboard or during registration.
  • They assist you; you remain the Organisation Leader.
  • You can set one Event Coordinator as the primary contact instead of yourself. Our Biblathon Team will connect directly with your primary contact — you, or your identified Event Coordinator.

Decide on your venue

You have two options:

  • Your organisation has a physical venue where your groups will gather. If you have a venue, confirm its address and time zone.
  • Your organisation has no physical venue, but you want to involve your members and congregation — in that case your Group Leaders will invite their readers to their own venue.

Set your venue opening hours

If you have a venue, use Open Opening Hours Calendar to set the windows it is open during the event (your Venue Opening Sessions). Group Leaders affiliated to you and who want to use your venue can only book reading times that fall inside these windows, so this shapes when your groups can read.

  • If you have invited an Event Coordinator, you can let them set the opening hours from their dashboard.
  • If you have no venue, this step is skipped — your Group Leaders will set their own reading time blocks.

Invite your Group Leaders

Invite the people who will lead reading groups — by email, or by sharing your Group Leader registration link. Any of your Event Coordinators can also invite Group Leaders from their dashboard, and you will see them on yours. Each Group Leader creates a group, books a reading block, and rallies their readers to fill the slots.

Approve Group Leaders who ask to join

When someone registers as a Group Leader and affiliates to your organisation on their own, their group appears as pending your approval on your dashboard. Make contact with them (a call or an email) and, depending on whether they belong to your organisation, approve or decline their request. Group Leaders you invited directly are pre-approved.

Track your progress

Your dashboard shows Your Progress and the recommended Next Step, plus every group under your organisation and how full each one is. See Resources for Registered Members to access promotional and brand assets to help you spread the word.

On the Day

Prepare the venue

Arrive early and check the space is ready — a room where readers can gather, a device with a camera and microphone for Zoom, and a stable internet connection.

Welcome your Group Leaders and readers

Make sure each group knows its reading time, its check-in time, and the order in which its readers will read.

Check in on time

Each group checks in at least 20 minutes before its reading time. At check-in, the exact chapter and a suggested breakdown between readers are confirmed.

Keep the relay smooth

Support your Group Leaders in ensuring clean hand-offs between readers and keeping to time, so the reading never stops.

Stay reachable

Remain available to your Group Leaders and venue hosts throughout your window. Our team is a message away if anything comes up.

Give thanks

Celebrate with your readers — together you have been part of a global, unbroken reading of God's Word.
